What Is a Price Quote?
A price quote is a formal document you send to a potential customer before any work begins or any money changes hands. What Is an Invoice?
An invoice is a formal payment request. You send it to a customer after delivering a product or service, or in advance to request a deposit. A proper invoice should include your business name and TIN (Tax Identification Number), the customer’s details, a description of the goods or services, the amount due, the GST charged if applicable, a unique invoice number, and the date. This is not optional — under Belize’s GST regulations, registered businesses are required to issue proper tax invoices for every taxable supply.
What Is a Receipt?
A receipt is proof that payment was received. Once a customer pays your invoice, you issue a receipt confirming the transaction is complete. Under the General Sales Tax Amendment Act 2024, which took effect January 1, 2025, GST-registered businesses in Belize are required to issue a tax receipt at the point of every sale. That receipt must include your business name, TIN, the price excluding GST, the GST rate and amount, the date, and a unique serial number.
What Is an Order?
An order is the record of what a customer has requested and what you have committed to deliver. It sits between the quote and the invoice in the business cycle. Managing orders properly means you always know what is outstanding, what has been delivered, and what still needs to be billed. This means that paper receipts and manual records will no longer be sufficient. Businesses need to be generating invoices and receipts digitally, with serial numbers, correct GST information, and electronic records that can be audited by the Belize Tax Service Department.
